Privacy Policy

This policy explains what Chargewood, Inc. ("Chargewood," "we," "us") collects, why, and what rights you have over it. It covers both merchants who connect a store to Chargewood and, where relevant, their customers whose order data passes through the service.

What we collect

To build and submit dispute evidence, we collect data from the platforms you connect (Shopify, WooCommerce, BigCommerce, Stripe, PayPal, Whop, and similar):

  • Order, subscription, and billing records (amounts, dates, SKUs, plan/usage data)
  • Payment metadata such as card BIN/last-4 and processor transaction IDs — never a full card number
  • Customer contact and shipping details attached to an order
  • Device and IP signals captured at checkout or login, where your platform provides them
  • Delivery, access, and usage logs (tracking events, login/feature-usage timestamps) relevant to proving or disputing a transaction
  • Support conversation records you connect or forward to us for a specific case
  • Account information you give us directly (name, email, company, billing details for our own fees)

Why we collect it

Every category above exists to do one thing: build the factual response a card network's evidence rules require for a given dispute, submit it before the deadline, and show you the case history. We also use account information to bill for the service and to communicate about your account.

Where it's stored and processed

Chargewood's infrastructure runs on DigitalOcean in its NYC data center region. See our Security page for more on encryption and access controls.

Who we share it with

We share dispute evidence with your payment processor and the relevant card network as part of submitting a response — that's the service. We use a small number of infrastructure and communication vendors (hosting, email/SMS delivery, payment processing for our own fees) strictly to operate Chargewood, under agreements that restrict them from using your data for anything else. We do not sell personal data, and we do not share it with third parties for their own marketing purposes.

Retention

We keep dispute-related data for as long as your account is active, plus any period needed to resolve an open case or satisfy a legal or tax obligation. On request, we'll delete data we're not otherwise required to retain.

Your rights

You can ask us what data we hold about your account, request a copy, request correction, or request deletion by emailing privacy@chargewood.com. If you're a customer of a merchant using Chargewood (rather than a Chargewood account holder yourself), please start with that merchant — we process your data on their behalf — and we'll assist them with any request.

Children's privacy

Chargewood is a business-to-business service and is not directed at children. We do not knowingly collect data from anyone under 18.

Changes to this policy

We'll update this page as our practices change and note the date at the top. Material changes will be communicated to account holders by email.
